Privacy Policy

Campus Chalet, Inc. (“Campus Chalet,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through the website at campuschalet.com, our customer ordering forms, our internal work-order and invoicing portal, and our integration with Intuit QuickBooks Online (collectively, the “Services”), how we use it, and the choices you have.

1. Information we collect

Information you provide. When you request a quote, place an order, create an account, contact us, or use the operations portal, you may provide:

  • Contact details such as name, company, email, phone, and shipping/billing address.
  • Order specifications, artwork, logos, photographs, and other materials you upload.
  • Account credentials (email and a hashed password) for portal users.
  • Payment-related information you furnish to us or to our payment or accounting providers (we do not store full credit-card numbers on our servers).
  • Correspondence and any other information you choose to send us.

Information collected automatically. Like most websites, we automatically collect basic technical data such as IP address, browser type, device type, pages viewed, referring URL, and timestamps. We use cookies and similar technologies to keep you signed in, remember preferences, and measure site performance.

Information from QuickBooks Online. If an authorized administrator connects the portal to QuickBooks Online, we receive, on Campus Chalet's behalf, OAuth tokens and limited company data (such as customer records and invoices we create or read) from Intuit. We do not receive your Intuit login password.

2. How we use information

  • To prepare quotes and produce, ship, and invoice the goods you order.
  • To digitize artwork and maintain production records.
  • To operate the portal, authenticate users, and maintain security and logs.
  • To create and send invoices through QuickBooks Online when authorized, and to record shipping carrier, tracking number, and shipping charges.
  • To respond to inquiries and provide customer support.
  • To comply with legal obligations, enforce our agreements, and prevent fraud or abuse.
  • To send transactional messages (order confirmations, proofs, shipping notices). We do not sell your personal information and we do not send marketing email to portal-only users without consent.

3. How we share information

We share information only as needed to run our business:

  • Service providers who host our website and database, send email, process payments, and provide accounting services (including Intuit QuickBooks Online) — under contracts that restrict their use of the data.
  • Shipping carriers (e.g., UPS, USPS, FedEx) to deliver your order and provide tracking.
  • Professional advisors (lawyers, accountants, auditors) bound by confidentiality.
  • Authorities or other parties when required by law, subpoena, or to protect rights, safety, or property.
  • Successors in a merger, acquisition, financing, or sale of assets, in which case the recipient will be bound by terms at least as protective as this Policy.

We do not sell or rent personal information, and we do not use QuickBooks Online data for advertising or share it with third parties for their independent marketing.

4. QuickBooks Online — specific practices

Our use of information received from Intuit APIs adheres to Intuit's developer requirements, including any applicable Limited Use policies. Specifically:

  • We use QuickBooks data only to provide the user-facing features the customer has authorized in the portal (customer lookup, customer creation, invoice creation, and tracking-number recording).
  • We store OAuth access and refresh tokens encrypted at rest in our managed database and use them only to call Intuit on the connected company's behalf.
  • We do not transfer QuickBooks data to third parties except subprocessors strictly necessary to provide the Services, or as required by law.
  • We do not use QuickBooks data to serve advertisements.
  • You can disconnect the integration at any time from the portal's QuickBooks page or from your Intuit account; on disconnect we revoke and delete stored tokens.

5. Cookies and analytics

We use strictly necessary cookies (for login sessions and security) and may use limited analytics to understand aggregate traffic patterns. You can control cookies in your browser; disabling them may prevent portal sign-in.

6. Data retention

We retain customer, order, artwork, and invoice records for as long as needed to fulfill the purposes described above and to comply with tax, accounting, and legal obligations (typically up to seven years for financial records). Portal access logs are retained for a shorter period for security purposes.

7. Security

We use industry-standard administrative, technical, and physical safeguards — including TLS in transit, encryption at rest for credentials and OAuth tokens, role-based access control, and Row-Level Security in our managed database — to protect information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Children

The Services are intended for business use and are not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

9. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or restrict our use of your personal information, or to object to certain processing. To exercise these rights, email customerservice@campuschalet.com. We will verify your request and respond consistent with applicable law. We do not “sell” or “share” personal information as those terms are defined under California or other U.S. state privacy laws.

10. International users

The Services are operated from the United States. If you access them from outside the U.S., you understand your information will be processed in the U.S., which may have data-protection laws different from those of your jurisdiction.

11. Changes to this Policy

We may update this Policy from time to time. The “Last updated” date above indicates when revisions took effect. Material changes will be highlighted on this page.
